What data do we collect?

Mango Media collects the following data:

Personal identification information (name, email address, phone number).

Information about your enquiry or project that you choose to share with us — for example the project description and answers you provide in our instant quote calculator, or messages you send via live chat or our contact form.

How do we collect your data?

You directly provide Mango Media with the data we collect. We collect and process data when you:

Use our instant quote calculator (your name, email address, phone number, project description, and your answers to the calculator's questions).

Submit your details via our contact section.

Talk to us via our live chat function.

Book a call with us through our scheduling tool (Calendly).

Use or view our website via your browser's cookies.

How will we use your data?

Mango Media collects your data so that we can:

Prepare and send you the estimate you requested, including a PDF copy by email (this is necessary to take steps at your request before entering into a contract).

Follow up with you about your enquiry and answer your questions (our legitimate interest in responding to people who ask us for a quote).

Manage our sales pipeline and keep a record of enquiries in our customer relationship management system.

With your consent, email you with occasional information about our services that we think you might like (see Marketing below).

We do not sell your personal data.

Our use of AI in the quote calculator

Our instant quote calculator uses an artificial intelligence service (Anthropic's Claude) to read your project description, generate relevant follow-up questions, and help draft your estimate. Your project description and answers are sent to Anthropic for processing for this purpose only. The prices themselves are calculated by our own fixed rate card. Anthropic does not use data submitted through its API to train its models by default.

Who do we share your data with?

We use a small number of trusted service providers ("processors") to run our business. Where you use the quote calculator or contact us, your data may be processed by:

Netlify — hosts the calculator and securely stores enquiry records.

Anthropic — AI processing of your project description (see above).

Mailgun (EU region) — sends your estimate email.

Make — connects our systems together (workflow automation).

Pipedrive — our customer relationship management system.

Google Workspace (Gmail, Sheets) — email and internal record keeping.

Calendly — if you book a call with us.

Tidio — if you use our live chat.

Webflow — hosts our website.

Some of these providers may process data outside the European Economic Area. Where that happens, transfers are protected by appropriate safeguards such as the European Commission's Standard Contractual Clauses or an adequacy decision.

How do we store your data, and for how long?

Mango Media stores your data securely with the providers listed above. We keep enquiry and quote records for 24 months from your last contact with us, after which they are deleted unless you have become a client (in which case we keep records for the duration of our engagement and as required by law, for example for tax purposes). You can ask us to delete your data sooner at any time — see your rights below.

Marketing

Mango Media would like to send you information about services of ours that we think you might like. We will only do this where you have agreed to it, and every marketing email includes a way to opt out. You have the right at any time to stop us from contacting you for marketing purposes — just email hello@mangomedia.ie.

What are your data protection rights?

Mango Media would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

The right to access — you have the right to request copies of your personal data.

The right to rectification — you have the right to request that we correct information you believe is inaccurate, or complete information you believe is incomplete.

The right to withdraw consent — where we rely on your consent (for example marketing), you can withdraw it at any time.
